Dental Office Front Desk / Patient Coordinator
Reports to: Office Manager
PRIMARY RESPONSIBILITIES
Responsible for managing the entire Patient Experience from scheduling the appointment to check-out
SPECIFIC DUTIES
Patient Management
- Greet, welcome and check-in patients
- Schedule patient appointments
- Assist patients with completing necessary forms
- Confirm appointments and maintain timely communication with patients
- Collect patient co-pays and estimated out-of-pocket expenses
- Verify insurance eligibility and benefits
- Confirm patient charges and procedures
Records Management
- Securely store and handle patient records in compliance with HIPAA regulations
- Accurately file thorough and up-to-date patient information
- Obtain and record accurate patient demographic and medical information
- Scan documents into patient charts
- Manage laboratory cases, prepare for send, receive and distribute
- Timely submit patient information to referring offices while complying with HIPAA regulations
Inventory Management
- Monitor and maintain inventory of dental office supplies
- Manage and stock front office supplies
Office Participation
- General office duties; answering phones, emails, voicemails, filing and faxing
- Be an active participant in team meetings
- Be engaged and involved with the team’s success
PERSONNEL REQUIREMENTS
Education/Experience
- High school diploma or equivalent
- Dental office experience is preferred
- Sound knowledge of dental terminology and general administrative skills
- Excellent telephone etiquette
- Exceptional organizational skills
- Great customer service skills
Interpersonal Skills
- Maintain effective rapport with patients, doctors, other staff members and community
- Effective verbal and written communication
- Be a team player

Qualifications:
- Associate’s degree in dental Hygiene from an accredited program.
- Current state licensure as a Registered Dental Hygienist.
- Current CPR and BLS certification.
- Minimum of 2 years of experience as a Registered Dental Hygienist preferred.
- Strong clinical skills and knowledge of dental hygiene procedures.
- Excellent communication and interpersonal skills.
- Ability to work effectively as part of a team.
- Attention to detail and organizational skills.
- Proficiency in dental software and technology.
Office hours are Monday – Thursday 8 to 5 and Friday 8 to 2.

Dental Assistant
Reports to: Clinical Lead and Office Manager
PRIMARY RESPONSIBILITIES
Responsible for assisting the dentist in the clinical treatment of patients
SPECIFIC DUTIES
Patient Management
- Greet, escort and seat patients in treatment areas
- Setup treatment rooms
- Obtain and review health histories
- Anticipate and assist with the dentist’s needs
- Perform radiographic imaging as instructed by the dentist
- Perform expanded functions (if credentialed) and other tasks as assigned by the dentist
- Mix dental materials
- Answer patient questions, concerns, give instructions and demonstrations
- Chart patient clinical records
- Maintain accurate accounting of treatment performed
- Perform clinical procedures (per license restrictions) as directed by the dentist
- Prepare and discuss treatment plans
- Schedule appointments
Treatment Room Management and Sterilization
- Maintain a state of readiness, clean, disinfect and stock
- Follow OSHA responsibilities and regulations
- Sterilize all instruments and handpieces according to OSHA regulations
- Document and record sterilization procedures
- Maintain dental office equipment
- Follow laboratory procedures
Records Management
- Securely store and handle patient records in compliance with HIPAA regulations
- Accurately file patient information
- Track and record cases and referrals
- Assist with patient recalls and appointment scheduling
Inventory Management
- Monitor and maintain inventory of dental office supplies
- Manage and stock the supplies needed in the treatment rooms
Office Participation
- Assist other dental staff with administrative duties (answering phones, routing lab cases, completing forms, relaying messages and patient records, etc.)
- Be an active participant in team meetings
- Be engaged and involved with the team’s success
PERSONNEL REQUIREMENTS
Education/Experience
- High school diploma or equivalent
- Graduate of accredited dental assisting program or dental assisting experience preferred
- Active Tennessee RDA license preferred
- BLS CPR Certification
- Computer skills
- Commitment to CE for career development
Interpersonal Skills
